Established in 1972, South Yorkshire Housing Association (SYHA) works with a clear aim to provide homes for vulnerable people. The Association has around 4,000 homes across North, South and West Yorkshire, Derbyshire, and Nottinghamshire regions in England.

SYHA has 12 members in its board and holds ten board meetings every year. Prior to using Convene, the Association had to prepare 20 board packs in total, each one taking an entire day to prepare, photocopy, and post to all the board members. In order to streamline the way they produced board packs, SYHA started using Drive and Dropbox but soon realised that those apps were not sufficient to meet their requirements. The Association did some research and tried other board meeting apps as well, all of which they found quite complicated and unsuitable for their purposes. However, they finally chose Convene because it not only matched their budget but was also found very suitable by their IT with regards to their security requirements and general features.

According to Danielle Moore, Director’s Secretary at SYHA, “It took me no longer than 30 minutes with each board member to get them confident using Convene. Since then, none of them has ever come back to me, except if they have forgotten their password, which they can reset themselves or I can easily reset.

Apart from the ease of use, the members of the Board also like the Review Room feature which helps them upload news articles, presentations and weekly/monthly updates so everyone can then read them at their convenience. Also, the Document Library feature has helped the Association to store all the organisations policies and standard documents in one place.

If anyone else is thinking of using board meeting software, I’d say definitely have a look at Convene. We looked at other apps but they were more expensive and couldn’t compare with Convene in terms of ease of use or features,” says our happy client!

SYHA has been using Convene since June 2014 and has renewed their license three times since then.
